Privacy Policy

This Privacy Policy explains how Recovery Worx (“we,” “us”) collects, uses, shares, and protects information when you use the Recovery Worx app and website (the “Service”). Because Recovery Worx supports the work you do with a healthcare provider, some of the information you enter may be sensitive health information. We treat it accordingly.

1. Information we collect

Information you provide

• Account details: your name, email address, password, and optionally your phone number, date of birth, and profile photo.
• Things you write in the app: journal entries, daily and mood check-ins, emotions/sensations logs, guided-exercise and worksheet responses, session-prep notes, assessments, and messages to your counselor. This content can include sensitive information about your mental health and recovery.
• Conversations with Haven: the messages you send to Haven, the app’s AI companion.
• Whether you’re working with Carlos: your answer to that question, and a dated record each time it changes. We keep that record so we can keep the privacy promise in Section 4.
• Payment information: handled by our payment processor (Stripe). We do not store your full card number.

Information collected automatically

• Basic technical and usage data needed to run the Service (for example, log data, device/browser type, and your time zone for correct scheduling and check-in timing).

2. How we use your information

• To provide the Service: your dashboard, journaling, exercises, check-ins, scheduling, and secure messaging with your counselor;
• To generate AI content: Haven’s replies, check-in reflections, your 90-Day Workbook, and the summaries you request (see Section 5);
• To process your membership and payments;
• To send you service messages and, where you’ve provided a phone number, appointment or exercise reminders;
• To maintain the security and integrity of the Service;
• To comply with legal and professional obligations.

We do not sell your personal information, and we do not use your private content to train third-party AI models.

3. When we share information

If you’re working with Carlos, we share what you enter with him as needed for your care (see Section 4). We share information with the service providers in Section 6, who process it on our behalf so the Service can work. We send a summary to another person only when you ask us to (see Section 5). We may also disclose information if required by law or to protect the safety of you or others.

4. Members in Carlos’s care and members who aren’t

When you join, we ask whether you’re working with Carlos right now. You or Carlos can change the answer later.

• If you’re working with Carlos, he can see what you write in the app (including your Haven conversations, check-ins, journal, exercises, and workbook) so he can use it in your care. He may get notifications about your activity, including alerts when a check-in suggests you may be struggling.
• Name the Need and Next Rung work differently. Even if you’re working with Carlos, your Name the Need entries, weekly reflections and Next Rung goals stay private to you unless you switch on “Share with Carlos.” You can switch it off at any time, and he never sees an entry you mark private. One exception: if something you write there has crisis language in it, Carlos gets a short alert so he can check in, whether or not you share. The alert doesn’t include what you wrote.
• If you’re not working with Carlos, he can see only your basic account details (such as your name, email, and membership status). He can’t see what you write, he gets no notifications or alerts about your activity, and messaging between you is turned off.
• Private for good. Anything you write while you’re not in Carlos’s care stays private to you, even if you later return to his care. He can see only what you write while you’re in his care.

Because nobody is alerted about the activity of members who aren’t in Carlos’s care, please contact your own provider, or call or text 988, if you need help.

5. AI features and sharing summaries

Haven is an AI, not a person. Haven’s replies, the reflection after your daily check-in, the 90-Day Workbook, and the summaries you request are written by an AI model (Claude, made by Anthropic). To produce them, the relevant text you’ve entered is sent to Anthropic for processing. Anthropic doesn’t use it to train its models. In Name the Need, Haven also reads each entry when you save it to check for crisis language, and writes your weekly reflection from your entries.

Self-guided workbook. If you’re not in Carlos’s care, AI creates your 90-Day Workbook from your answers and releases it to you directly. Carlos doesn’t review it or see it.

Emailing a summary to your therapist. You can choose to email a summary to another therapist or provider. We send only what you choose, only to the address you enter. We don’t keep that address on our servers; your device remembers it for next time. Once it’s sent, the copy in their inbox is handled under their own privacy practices, not ours, so please double-check the address before you send.

6. Service providers (sub-processors)

Text messages (SMS). We only send text messages to clients who opt in from their profile by checking the text-notifications box. Messages are about your care in the app, for example when Carlos assigns a new exercise or update. Message frequency varies. Message and data rates may apply. You can opt out at any time by replying STOP to unsubscribe, or by unchecking the box in your profile, and you can reply HELP for assistance. Your consent to text messaging is never a condition of using Recovery Worx.

We do not sell, rent, share, or purchase your personal information. Your mobile phone number and your SMS opt-in and consent are never shared with any third parties or affiliates for their marketing or promotional purposes, and text messaging originator opt-in data and consent are not shared with any third parties.

7. Health information

Recovery Worx supports care provided by a licensed counseling professional, and some of what you enter is sensitive information about your mental health and recovery. We treat it with care: it is stored with reputable service providers, encrypted in transit and at rest, and access is limited to you and, while you’re in his care, Carlos (see Section 4). As a licensed California counseling practice, your information is also handled consistent with the provider’s professional and ethical duties of confidentiality and applicable state privacy law. If your care involves a separate privacy notice, it will be provided to you as part of that care.

8. How long we keep information

We keep your information for as long as your account is active and as needed to provide the Service, meet legal, professional, and recordkeeping obligations, resolve disputes, and enforce our agreements.

9. Your choices and rights

• You can view and update much of your profile information in the app.
• You can cancel your membership from your profile at any time.
• You may request access to, correction of, or deletion of your personal information by contacting us (subject to legal and clinical-recordkeeping limits).
• Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act.

10. Security

We use administrative and technical safeguards designed to protect your information, including access controls and encryption in transit. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

11. Children

The Service is for adults. We do not knowingly collect information from anyone under 18. If you believe someone under 18 has provided us information, contact us so we can address it.

12. Changes to this Policy

We may update this Policy from time to time. We will update the “Last updated” date and, for material changes, notify you where appropriate.
